A capital improvement project rarely moves in a straight line. It shifts from design to survey to construction, tasks pile up and get checked off, team members hand work back and forth, and residents want to know where things stand along the way. Civify's Project Workspace is built to keep all of that organized in one place — so nothing falls through the cracks and nobody has to dig through email threads to find an answer.


In this guide, we'll walk through the full lifecycle of managing a project day-to-day. You'll see how to read the Timeline to understand where a project stands, how to loop in team members and log updates through the Activity tab, and how to build out a Checklist using templates so your team follows a consistent process every time. We'll also cover how to advance a project through its phases — whether that happens automatically as tasks get completed or you need to set it manually — and how the progress bar behind the scenes actually calculates completion.


Along the way, we'll flag a few details that trip people up: what happens when a project has zero tasks, how task completion is weighted (spoiler: every task counts equally), and why you should always export a project before deleting it — since once it's gone, it's gone for good.


Note: A few steps in this guide involve add-on features — Routings, Road Restrictions, and Advanced Project Management (Design Reviews, Daily Reports, and Punch Lists). If your organization hasn't enabled these modules, your workspace will look a little different, and that's expected.
